Chances are good that you’ve created a macro before in your spreadsheet to repeat common tasks, but macros actually make the most sense in your accounting software application where you repeat common tasks and produce the same reports on a daily, weekly, and monthly basis. Great Plains was one of the first products to support macros. Macros can be created to store common keystrokes for routine operations and help to speed up the data entry and reporting processes. To create a macro, simply select Tools, Macro, Record as shown in the screen below.
Next indicate a name that will be used to represent your macro name. You might create numerous macros for “printing month end reports”; “producing customer statements”; or even for generating repetitive sales orders.
Thereafter and until you turn off the keystroke recorder, Great Plains will record each of your keystrokes. Afterwards, you could replay these keystrokes as often as you desire. A good example of using this feature would be to create a macro called “Carlton’s GPS Macro”. Next print all of the reports you desire at month end (general ledger, trial balance, financial statements, aged receivables, aged payables, inventory listing, vendor listing, ratio reports, sales journal, etc.) Next month simply invoke the same macro and your reports will be printed for automatically. Notice also that Great Plains allows you to pause a macro. This is useful in case you want the system to pause temporarily so that you might select a customer or indicate the number of reports to be included in a print job.
You could even change your printers or printer settings as part of your keystrokes. Additionally, you could set your macro to print multiple copies of certain reports for distribution to key individuals within your organization.
